General Conditions of sale and purchase
These terms and conditions apply to the sale and purchase of the following services offered by InTuition Languages Limited:
- Homestay language immersion and personal tuition programme courses ("face-to-face courses").
- Course vouchers.
- Online language courses.
By purchasing or using any of these services, you agree to be bound by these terms and conditions.
1. General Definitions
- "We," "Us," "Our" refer to InTuition Languages Limited.
- "You," "Your" refer to the customer purchasing or redeeming the service.
- "Services" refer to the homestay language immersion courses, online language courses, and course vouchers.
- "Voucher" refers to a prepaid course voucher with a redeemable value for services.
- "Zero Face Value" means the voucher itself holds no monetary value and can only be redeemed for services.
2. Payment Terms
- Full payment is required at the time of booking or purchase unless otherwise agreed in writing.
- All payments must be made in the stated currency (GBP, EUR or USD) as applicable.
3. Cancellations
3.1 Face-to-face Courses
- Cancellation by You:
- Cancellations made more than 10 working days before the course start date will receive a full refund minus a GBP 150 / EUR 160 / USD 170 administration fee.
- Cancellations made between 10 - 5 working days before the course start date will receive a 50% refund.
- Cancellations made less than 5 working days before the course start date are non-refundable.
- Cancellation by Us:
- If we cancel the course, you will receive a full refund or the option to reschedule without additional cost. We reserve the right to cancel any course at any time, including after the course start date.
3.2 Online Language Courses
- Cancellation by You:
- Cancellations are only permitted within 14 days of purchase if the course has not been accessed or started. A full refund will be issued.
- No refunds will be provided once the course has been accessed or started.
- Cancellation by Us:
- If we cancel an online course, you will receive a prorated refund based on the portion of the course completed. We reserve the right to cancel any course at any time, including after the course start date.
3.3 Course Vouchers
- Vouchers are non-refundable.
- Vouchers cannot be exchanged for cash or any other form of credit.
4. Postponements and Amendments
4.1 Face-to-face Courses
- Requests to postpone must be made in writing at least 10 working days before the course start date.
Postponements and amendments:
- Courses postponed (change of course dates) or amended (change of products) more than 10 working days before the Course Start Date: fee of GBP 75 / EUR 80/ USD 85.
- Courses amended (change of products) 10 or fewer working days before the Course Start Date: fee of GBP 75 / EUR 80/ USD 85.
- Courses postponed (change of course dates) 10 or fewer working days before the Course Start Date: Cancellation terms apply.
4.2 Online Language Courses
- You may request to defer access to your course within 14 days of purchase. Once the course is accessed, no amendments are permitted.
4.3 Course Vouchers
- Vouchers may be transferred to another recipient with prior written notice to us.
- Vouchers may be redeemed in full or in part for homestay language immersion courses or online language courses.
5. Expiry and Redemption of Course Vouchers
- Vouchers must be redeemed within any stated period of validity.
- If the voucher is partially redeemed, the remaining balance can be used for future purchases within the stated validity period.
- Vouchers have a zero face value and cannot be resold or exchanged for cash.
Face-to-face courses
1. General
- Students are required to abide by the InTuition Languages Code of Conduct throughout each course.
- To ensure the security of homestay teachers and their families, students may be required to submit a form of government ID during the booking process. InTuition Languages does not retain this data once a student's identity has been confirmed.
- InTuition Languages allocates teachers to students on the basis of a holistic analysis of student requirements and at our sole discretion. We reserve the right to change any allocated teacher before or during a course.
- For all students aged under 18, a duty of care is established between the homestay teacher and the student. Parents / legal guardians of under 18s must provide written consent as outlined in relevant course documentation. Failure to provide consent will result in any enrolment being cancelled.
- No retrospective claim or complaint from a student will be accepted. Problems must be brought to our attention during a course. We will seek to manage and resolve any problem with extreme delicacy and tact and will, if necessary, move a student to a new homestay teacher. In the event of the discovery of any serious health problem or contagious illness, mental or physical disability, or special educational need not disclosed at the time of booking, or criminal or anti-social behaviour on the part of a student, we reserve the right to terminate a course and repatriate that student at their own cost and without refund of fees.
2. Visas and Travel
2.1 UK
- Students from many countries (including all EEA countries and Switzerland) are classified as 'non-visa nationals' and do not require a UK visa for language courses of less than six months duration. - A full passport is required for entry to the UK. Identity cards issued by EU states are not accepted.
- For students who require a visa to enter the UK, a standard Visitor Visa is appropriate for language courses of less than six months duration. We will provide supporting documentation for all visa applications, once course fees have been paid in full. If a visa application is unsuccessful, we will refund fees in full (less a £150 / €150 administration fee) upon presentation of a visa refusal letter.
2.2 Ireland
- Students from the EEA and Switzerland may travel to Ireland using a passport or EU identity card. There are no restrictions on length of stay or activities undertaken.
- Students from many other countries do not require a visa for language courses of less than 90 days duration. A full list of visa-exempt nationalities is available here: https://www.irishimmigration.ie/coming-to-study-in-ireland/study-in-ireland-travel-path/
- For students who require a visa to enter Ireland, a Short Stay 'C' Visa is appropriate for language courses of less than 90 days' duration.
- We will provide supporting documentation for all visa applications, once course fees have been paid in full. If a visa application is unsuccessful, we will refund fees in full (less a £150 / €150 administration fee) upon presentation of a visa refusal letter.
2.3 Schengen Countries
- EEA and Swiss students do not require a visa for language courses in any Schengen Zone country.
- Students from countries which do not require a visa to enter the Schengen Zone may study a language course of up to 90 days' duration without applying for a visa.
- Students who require a visa to enter the Schengen Zone may use a Visitor Visa to study a language course of up to 90 days' duration.
- We will provide supporting documentation for all visa applications, once course fees have been paid in full. If a visa application is unsuccessful, we will refund fees in full (less a £150 / €150 administration fee) upon presentation of a visa refusal letter.
2.4 Other Countries
- We do not provide supporting documentation for visa / immigration purposes for countries not included above. Students must ensure that they meet their destination country's entry requirements for a period of short-term study before they travel.
2.5 General
- It is students' responsibility to ensure that they leave adequate time to acquire a visa (if required) once their course has been confirmed. No fees will be refunded if a student has not received a visa in time to begin their course.
3. Student Responsibilities
- Students (or their appointed agent) must provide full and accurate information when arranging a course with us. This includes:
- Information regarding the student's current level in the language of study
- Information regarding the required course content and study objectives
- Information regarding any hosting requirements (including any special diets, allergies or medical issues)
- Failure to provide full and accurate information before the course is confirmed may result in the student being placed with an inappropriate homestay teacher, with the on-course experience and course outcomes being negatively impacted as a consequence.
- We will accept no claim for reimbursement of course fees where inaccurate or incomplete information has been provided.
4. Liability
- InTuition Languages acts exclusively as agent between its clients (students and Educational Tour Operators) and suppliers (teachers and other entities). Under no circumstances can InTuition Languages be held responsible for any injury, damage, loss, delay or accident which may occur during a student’s stay with a homestay teacher, or as a result of activities which they take part in during their stay or whilst travelling to and from the student's home, or loss of property.
- Lessons missed by students due to illness or absence will not be refunded.
- Neither InTuition Languages nor any homestay family is responsible for students’ personal possessions.
- It is an explicit condition of enrolment that students accept full financial responsibility for any damage or loss caused by them to a homestay family's property during a course.
5. Insurance
- It is a condition of enrolment that students obtain suitable personal travel insurance against cancellation, accident, illness or loss of property. InTuition Languages provides insurance cover for students taking a Young Learner course.
- All eligible students travelling within the EU or to the UK are advised to register for the European Health Insurance Card (EHIC), as well as arranging insurance cover.

Online courses
1. General
Trial Lesson
- You are entitled to a 30-minute Trial Lesson, free of charge, with the tutor(s) we allocate to you.
- A maximum of three free trial lessons per student applies.
Enrolment
- After your Trial Lesson(s), you may choose to enrolment for further lessons with your allocated tutor.
- Lessons are purchased in blocks, with a minimum purchase of 15 hours.
- Once your purchase has been confirmed, your tutor will contact you to arrange your next session at a convenient time.
- You plan your session content with your tutor on a daily or weekly basis.
- You must use all purchased lesson time within three months of starting your course, at which point any unused lesson time will expire.
2. Platform and Equipment
- IOP courses are delivered via the Zoom app, unless you and your tutor agree to use an alternative platform.
- In addition to the Zoom app, you will require a computer with a reliable internet connection, a headset and microphone.
3. Materials
- Your course fee includes all study materials. Your tutor will select and share materials with you, according to your personal requirements and priorities. You may also supply your own materials, if you wish.
4. Course Management

Cancellation or Postponement of Individual Sessions:

6 hours' notice (evening sessions) or 12 hours' notice (morning sessions) must be provided if you wish to postpone or cancel an arranged session. If you do not provide this notice, the session will be considered taught.

- If you fail to attend a session within 10 minutes of the agreed start time, the session will be considered taught.
- If your tutor is unable to attend an agreed session, you will be granted a makeup session to replace the lost time.
